## Overview
Access Expiry lets you set the date a User loses access to SuperPath. On that date their account is automatically disabled, so it's a simple way to manage access for contractors, temporary staff, or anyone whose time on the platform should have a defined end date.

It's particularly useful if you manage Users manually, or if you connect an HR system but also bring in contractors who need access for a set period.

## Who can do this
**Owners** and **Admins** can turn Access Expiry on, and can set, change or remove an expiry date on any User. **Managers** and **People Managers** can set or change the expiry date on their own direct reports when editing them. **Content Managers**, **Instructors**, **Employees** and **Restricted** users cannot manage access expiry. Owners are never disabled by Access Expiry, even if a date is set against them.

## Enabling Access Expiry
Access Expiry is controlled in your feature settings.

1. Go to **Settings → Features**.
2. Scroll to the **People** section.
3. Turn on **Enable access expiry dates on your account**.

Once enabled, the **Access expiry date** field appears wherever you add or manage Users.

## Setting an access expiry date
You can set an **Access expiry date** in three places.

**When inviting a User:**
1. Start the invite as you normally would.
2. At the bottom of the invite form, set the **Access expiry date**.
3. Send the invite.

**When manually adding a User:**
1. Add the User's details as usual.
2. Set the **Access expiry date** at the bottom of the form.
3. Save.

**When editing an existing User:**
1. Open the person's profile and select **Edit**.
2. Set the **Access expiry date**.
3. Save.

The date you set is the date the User will lose access.

## What happens when access expires
When a User's expiry date arrives:
* Their account is automatically disabled and they can no longer sign in. Expiry is evaluated against each User's own timezone.
* A daily digest email is sent to Owners and Admins listing everyone whose access was revoked, with a link through to the People list filtered to expired Users so you can review or re-enable them.

## Re-enabling a User
To restore access for a User whose access has expired:
1. Open the person's profile.
2. Select **Re-enable user**.
3. In the **Re-enable expired user** dialog, choose either **Set a new expiry date** or **Remove expiry (permanent access)**.

## Viewing and filtering by expiry
The People list includes an **Access expiry** column, so you can see each User's status at a glance. Use the filter at the top of the list to view people who are:
* **Expiring soon (< 7 days)**
* **Expired**
* **No expiry set**

## Things to keep in mind
* Access expiry takes effect on the date you set. On that date the User's account is disabled automatically.
* Re-enabling a User does not restore an expiry date by default — you'll be prompted to set a new one, or to remove the expiry so the account stays active indefinitely.
* A User with no expiry date set keeps access until one is added.
* Owners are never disabled by Access Expiry, even if a date is set against them.

## FAQs
**Who receives the daily digest?**
Owners and Admins receive a daily digest email listing the Users whose access was revoked in the previous 24 hours.

**Does an expired User lose their data?**
No. Their account is disabled so they can no longer sign in, but their record and history are retained. Re-enabling the User restores their access.

**Can an Owner's account expire?**
No. Owners are exempt from automatic expiry, so their access won't be revoked even if an expiry date is set.

**Can I set an expiry date for lots of Users at once?**
Yes. You can set an access expiry date as part of a bulk upload when adding people via CSV.
