# How to Bulk Edit Users

## Overview
Bulk editing lets you act on many Users at once from the People list — ideal for onboarding, tidying up records, or moving a group of people into a Team. Instead of opening each profile one at a time, you select the Users you want and apply a single action to all of them, saving time and reducing manual effort.

## Actions you can perform
Once you've selected your Users, open the **Bulk Actions** menu and choose one of the following:

| Action | What it does |
| ---- | ---- |
| **Edit Users** | Update shared fields such as position, role, country, time zone and login type. Any field you leave blank keeps its current value. |
| **Disable Users** | Temporarily deactivate Users without deleting them. They can be re-enabled at any time. |
| **Add Users to Team** | Add the selected Users to an existing Team. |
| **Set access expiry date** | Set (or remove) a date after which the selected Users lose access. This action only appears when access expiry is enabled for your organisation. |
| **Send Welcome Email** | Send the welcome email so people can set up their account and get started. |
| **Delete Users** | Permanently remove Users. This also removes them from all Teams and deletes their learnings, badges, certificates, roadmaps and CPD points. It cannot be undone. |

## How to bulk edit Users
1. Go to **People** in the left-hand navigation.
2. Tick the checkbox next to each User you want to include. To select everyone that matches your current filters, tick the checkbox in the table header — your selection carries across every page, so there's no need to work through one page at a time.
3. Open the **Bulk Actions** menu at the top of the list and choose an action.
4. Complete any details the action asks for (for example, choosing a Team, or filling in the fields to update).
5. Confirm on the summary screen. You'll always see how many Users the action will affect before it runs.

> **Tip:** Use **Add Users to Team** to quickly group new hires into the right department, and **Send Welcome Email** to get a whole intake started in one go.

## Things to keep in mind
* Selecting the header checkbox selects every User that matches your current filters, across all pages — check your filters before you apply an action. Deselecting any single row exits select-all mode.
* **Delete Users** is permanent and cannot be reversed. Always double-check your selection before confirming, and use **Disable Users** instead if you only need to remove access temporarily.
* The **Set access expiry date** action only appears if access expiry is enabled for your organisation.
* Large selections are processed in the background. Very large jobs may take a little while to finish.

## FAQs
**Does my selection carry across pages?**
Yes. Tick the header checkbox and every User matching your current filters is selected, across all pages — you don't need to select page by page. Deselecting any individual row exits select-all mode.

**What's the difference between disabling and deleting a User?**
Disabling temporarily deactivates the User so they can't sign in, and you can re-enable them at any time. Deleting is permanent — it removes the person from all Teams and deletes their learnings, badges, certificates, roadmaps and CPD points, and cannot be undone.

**Will editing overwrite fields I don't want to change?**
No. In **Edit Users**, only the fields you fill in are updated. Anything you leave blank keeps its current value on each User.

**Why can't I see the Bulk Actions menu or the checkboxes?**
Bulk editing is available to Owners and Admins. If you don't have one of those roles, the People list won't show the selection checkboxes or the Bulk Actions menu.

## Who can do this
**Owners** and **Admins** can bulk edit Users. **Managers**, **People Managers**, **Content Managers**, **Instructors**, **Employees** and **Restricted** users cannot — the selection checkboxes and the **Bulk Actions** menu only appear for Owners and Admins.
