# How to Send Calendar Invites for an Event

## Overview

Calendar invites put an Event straight into your learners' calendars. When you turn them on, SuperPath creates the Event in the Event owner's connected calendar and adds everyone who is assigned as an attendee, so Google or Microsoft sends each person a real calendar invitation from the owner.

Your learners do not need to connect anything. They receive the invitation in whatever calendar they already use, they can accept or decline it, and their calendar stays up to date on its own whenever the Event changes.

This is different from connecting your own calendar, which only affects you. If you want your own learning Events added to your personal calendar, see *How to connect Google Calendar* and *How to connect Outlook Calendar*.

## Before you start

The Event owner needs a connected calendar, because the invitation is sent from their account. If the owner has not connected Google Calendar or Outlook Calendar, the **Send calendar invite** toggle stays off and you cannot switch it on. Hovering over the question mark next to the toggle tells you what is missing.

If you are the Event owner, you can connect without leaving the Event. A **Connect Google Calendar** button and a **Connect Outlook Calendar** button appear next to the toggle.

> **Tip:** Save your changes before you click either connect button. Connecting takes you away from the Event, so anything you have not saved is lost.

## How to turn on calendar invites

A new Event always starts with calendar invites switched off, so this is something you turn on after creating the Event.

1. Go to **Events** in the left-hand menu and open the Event.
2. On the **Details** tab, find **Send calendar invite**. It sits just below the date, time and timezone, and above **Event location**.
3. Switch **Send calendar invite** on.
4. In the **Unsaved changes** bar at the top of the page, click **Save** to apply it to the Event.

Invitations go out as soon as you save. Everyone already assigned to the Event receives one, and anyone you assign later receives one at the point you assign them.

## What your learners receive

Each assignee gets a calendar invitation from the Event owner, containing the Event title, description and location, and the start and end time in the Event's timezone. The invitation also links back to the Event in SuperPath, so your learners can see the full details or mark it as completed.

They can accept, decline or answer maybe in their own calendar, exactly as they would for any other meeting.

After that, their calendar keeps itself current:

* Change the date, time, location or details of the Event, and every attendee's calendar is updated.
* Assign someone new, and they receive an invitation.
* Unassign someone, and their calendar entry is cancelled.

## Things to keep in mind

* Invitations come from the Event owner's calendar, not from yours and not from SuperPath. If you edit an Event you do not own, the invitations still come from the owner.
* If the owner disconnects their calendar, invitations stop going out and stop being updated. Invitations already sitting in your learners' calendars stay where they are. The Event editor shows a warning, and reconnecting starts things up again.
* If you change the Event owner, calendar invites are switched off automatically, because the calendar entry belongs to the previous owner. The new owner can switch them back on, which sends a fresh invitation from their calendar.
* Switching calendar invites off stops any further updates. It does not cancel invitations your learners already have.
* Learners who have completed the Event stay on the invitation. Removing them would send a cancellation for an Event they have already attended.
* Learners who register for the Event themselves from the Library also receive an invitation.
* If the owner has connected both Google Calendar and Outlook Calendar, invitations are sent from Google.
* Duplicating an Event does not copy this setting. The copy starts with calendar invites switched off.
* Learners who have connected their own calendar do not get a second copy of the Event. The invitation is the only entry they receive.

## FAQs

**Do my learners need to connect their calendar?**
No, and that is the point of this feature. They receive a normal calendar invitation in whatever calendar they already use.

**Who does the invitation come from?**
The Event owner. Their name appears as the organiser, because SuperPath creates the Event in their connected calendar.

**Why can't I switch the toggle on?**
The Event owner has not connected a calendar. If you are the owner, use the connect buttons next to the toggle, or connect from your profile's **Settings** tab.

**Does accepting the invitation mark the Event as complete?**
No. Accepting or declining only affects the learner's own calendar. Attendance is still recorded in SuperPath the way it always has been. The Event owner can see who accepted by opening the Event in their own calendar.

**What happens with recurring Events?**
The recurrence is included in the invitation. If the owner has Outlook Calendar connected and the Event repeats on several days in the same week, attendees see it on the Event's start day only.

**Is there a limit on how many people can be invited?**
Google and Microsoft both cap how many attendees a calendar Event can have, usually in the hundreds. On a very large Event you may reach that cap, and no one beyond it is added to the invitation. This does not affect the assignment itself, so those learners still have the Event in their learning.

**Can the invitation be sent from a shared or team calendar?**
No. Invitations are sent from the personal calendar that the Event owner has connected.

## Who can do this

**Owners**, **Admins**, **Managers**, **Content Managers** and **Instructors** can switch calendar invites on for an Event, as long as the Event owner has a connected calendar. **People Managers**, **Employees** and **Restricted** users cannot, because they have read-only access to Events.
