## Overview
Workflows are a powerful way to automate your learning programmes. As well as saving time, they keep your onboarding, upskilling and compliance programmes running without needing your constant attention, so your teams keep learning and growing. You can view and manage Workflows in the [Settings](https://app.superpath.io/settings#workflows) area of SuperPath.

> **Note:** Workflows is available on paid (business) plans. If you'd like to activate this feature, please reach out to SuperPath Support.

This is the overview of how Workflows work. For step-by-step guides, see *How to Create a Workflow*, *How to Choose a Workflow Trigger*, *How to Choose a Workflow Action*, *How to Edit a Workflow*, and *How to Pause or Activate a Workflow*.

## How Workflows work
Every Workflow is built from two parts:
* A **Trigger** — the event that causes the Workflow to run.
* An **Action** — what the Workflow does when the Trigger occurs.

## Triggers
There are eight Triggers you can use to automate your Workflows:
* A person joins
* A profile is updated
* A person is added to a Team
* A Pathway is completed
* An Event is attended
* A Form is submitted
* A piece of learning content is completed
* A Roadmap is completed

### Trigger criteria
Once you've selected a Trigger, you can narrow when it fires by:
* selecting a specific record (for example a particular Team, Pathway, Form, Event or piece of content); or
* matching criteria such as role, position, level, tags or instructors. The criteria you can filter by depend on the type of Trigger.

Criteria are flexible. One condition can list several values with **Is any of**, such as Position is Nurse, Carer or Enrolled Nurse. When you add two or more conditions, you choose whether a person must match **all** of them or **any** of them. That means one Workflow can now do the job that used to need several, with one set of rules to maintain. See *How to Choose a Workflow Trigger* for the details.

## Actions
There are eight Actions you can perform once a Trigger has fired:
* Assign a Pathway
* Assign learning content (from the Library)
* Assign an Event
* Assign a Form
* Assign a Roadmap
* Add the person to a Team
* Change the person's role
* Send a notification

For the assignment Actions you'll then select the specific record — a Pathway, Event, Form, Roadmap, Team or a piece of content from the Library. The **Send a notification** Action lets you write your own custom message; see *Custom Notifications* for the full details.

## Managing your Workflows
Once you've added a Workflow it starts running automatically. You can modify a Workflow at any time and your changes take effect immediately. If you need to stop a Workflow, click **Pause** — you can restart it whenever you like. You can also delete a Workflow if you no longer need it.

## Example Workflows
Here are some examples of Workflows you could use to improve your learning programmes:
* When a person is added to a Team, assign them an onboarding Pathway built for that Team.
* When a new person joins and their position is "Engineer", add them to the Engineering Team.
* When a person is added to the Clinical Staff Team and their position is any of Nurse, Carer or Enrolled Nurse, assign them the clinical induction Pathway.
* When a person's profile is updated and their position is Nurse **or** their country is New Zealand, add them to the Trans-Tasman Nursing Team.
* When a person completes a piece of learning (for example an article, course or podcast), assign them a post-assignment survey (a Form).
* When a person attends an Event, assign them a post-assignment survey (a Form).
* When a person completes their learning Pathway, assign them an Event to meet their Manager and review what they've learnt.
* When a new person joins, assign them the code of conduct document to review.

## Who can do this
Only **Owners** and **Admins** can view, create and manage Workflows. **Managers**, **Content Managers**, **People Managers**, **Instructors**, **Employees** and **Restricted** users don't have access to the Workflows area. Workflows is available on paid (business) plans — contact SuperPath Support if you'd like it enabled.
