Overview

Access Expiry lets you set the date a user loses access to SuperPath. On that date, their access ends and their account is automatically disabled. It's a simple way to manage access for contractors, temporary staff, or anyone whose time on the platform should have a defined end date.

It's particularly useful if you manage users manually, or if you connect an HR system but also bring in contractors who need access for a set period.




Enabling Access Expiry

Access Expiry is controlled in your feature settings and can be switched on by admins and owners.

  1. Go to Settings, then Features.
  2. Scroll to the People section at the bottom.
  3. Turn on Enable access expiry dates.




Once enabled, the access expiry option will appear wherever you add or manage users.


Setting an access expiry date

You can set an access expiry date in three places.


When inviting a user:

  1. Start the invite as you normally would.
  2. At the bottom of the invite form, set the Access expiry date.
  3. Send the invite.


When manually adding a user:

  1. Add the user's details as usual.
  2. Set the Access expiry date at the bottom of the form.
  3. Save.


When editing an existing user:

  1. Open the person's profile and select Edit.
  2. Set the Access expiry date.
  3. Save.




The date you set is the date the user will lose access.


What happens when access expires

When a user's expiry date arrives:

  • Their access ends and their account is automatically disabled.
  • You receive a daily digest listing everyone whose access has expired, along with the option to reactivate them.


Reactivating a user

To restore access for a user whose access has expired:

  1. Open the person's profile, or use the link in the daily digest.
  2. Click Reactivate.
  3. Choose to either set a new access expiry date, or remove the expiry so the user has access indefinitely.




Viewing and filtering by expiry

The people list includes an Access expiry column, so you can see each user's status at a glance. Use the filter at the top of the list to view people who are:

  • Expiring soon
  • Expired
  • No expiry set




Things to keep in mind

  • Access expiry takes effect on the date you set. On that date, the user's account is disabled automatically.
  • Reactivating a user does not restore an expiry date by default. You'll be prompted to set a new one, or to leave the account active indefinitely.
  • A user with no expiry date set will keep access until one is added.
