How to Manage Learning, Approval, and Assessment Requests

Overview


Requests is the single place to deal with everything your learners are waiting on you for. Instead of chasing notifications or opening individual assignments, you get one page with three tabs: learning your people have asked to be given, learning they've finished that needs signing off, and steps that need you to assess them.


Each tab is a filterable, searchable table showing the learning, the learner, the current status and when it last changed, sorted so the most recently updated sits at the top.


How to open the Requests page


  1. Look at the icon row in the top-right corner of SuperPath, between Favourites and Notifications.
  2. Click the speech-bubble-with-tick icon (its tooltip reads Learning Requests).
  3. The Requests page opens with the tabs Learning Requests, Approval Requests and Assessment Requests.


If you don't see the icon at all, your role doesn't include reviewing requests — see Who can do this below.


How to action Learning Requests


Learning Requests are self-service requests: a learner has found something in the Library and asked to be given it, and they can't start until you approve.


  1. Open the Requests page and go to the Learning Requests tab.



  1. Find the request you want to deal with. Rows waiting on you show the status Awaiting Review; you can also search by title or learner, or filter by Approved or Declined to see what's already been handled.
  2. To approve it, click Approve. You can optionally set a due date in the Approve Learning? window, then confirm with Approve — the learning is assigned to the learner straight away.
  3. To turn it down, click Decline, enter a reason in the Decline learning? window (a reason is required), and confirm with Decline.


Good to know: The reason you give when declining is kept against the request. Hover the comment icon next to a Declined row to read it back later.


How to action Approval Requests


Approval Requests are the other way round: the learner has completed learning that was set up to need sign-off, and it sits at Awaiting Review until you approve or decline it.


  1. Open the Requests page and go to the Approval Requests tab.
  2. Scan the list. Each row shows the title — tagged Pathway Step or Learning Assignment so you know what you're looking at — plus the learner, the status and when it last changed. Turn on Show completed if you also want to see items you've already signed off.
  3. Click the row to open the learner's assignment or Pathway step.
  4. Review the learner's work there, then approve or decline it on that screen.


How to action Assessment Requests


Assessment Requests are steps that need you to mark or observe something — the practical assessment at the end of a Pathway, for example — rather than just approve a completion.


  1. Open the Requests page and go to the Assessment Requests tab.
  2. By default you'll see the assessments that are In Progress. Use Show completed and Show not started to widen the list.
  3. Click the row to open the step for that learner.
  4. Carry out the assessment and record the outcome on that screen.


Things to keep in mind


  • The Learning Requests tab only appears if self-service learning requests are switched on for your account, under Settings → Library. Without it you'll see just Approval Requests and Assessment Requests.
  • What you see depends on your role. Managers and People Managers see requests for their direct reports and their Teams where they're the nominated approver or assessor. Instructors see the ones assigned to them.
  • By default, Admins also only see requests where they're the nominated approver or assessor. An Owner can switch on Allow Admins to approve and assess all learnings under Settings → Features → People to give Admins the whole account's requests.
  • Approving and declining a Learning Request happens on the Requests page itself. Approval Requests and Assessment Requests are actioned on the learner's assignment or Pathway step — clicking the row takes you there.
  • Setting a due date when you approve a Learning Request is optional; declining always needs a reason.
  • Requests only appear for learning that was set up to need approval or assessment in the first place. If something you expected isn't listed, check the assignment's or step's own settings.


FAQs


Where is the Requests page?
Click the speech-bubble-with-tick icon in the top-right icon row, between Favourites and Notifications.


What does "Awaiting Review" mean?
That the request is waiting on you. Nothing has been approved or declined yet.


Why can't I see the Learning Requests tab?
Self-service learning requests aren't switched on for your account. An Owner or Admin can enable them under Settings → Library.


Why is my Requests list empty when I know there are requests outstanding?
You only see requests you're the nominated approver or assessor for, or that belong to your direct reports and Teams. If you're an Admin and expect to see everything, ask your Owner to switch on Allow Admins to approve and assess all learnings under Settings → Features → People.


Do I have to give a reason when I decline?
Yes, for a Learning Request — the Decline button stays disabled until you enter one. The reason is stored with the request.


Can I set a deadline when I approve a Learning Request?
Yes. The Approve Learning? window has an optional due date. Leave it blank if you don't need one.


Who can do this


Owners, Admins, Managers, People Managers and Instructors can open the Requests page and action requests. Content Managers, Employees and Restricted users cannot — the icon isn't shown to them and the underlying request lists aren't available to their roles.


How much each of those roles sees differs: Managers and People Managers see their direct reports and Teams, Instructors see what's assigned to them, and Admins see only their own unless an Owner has switched on Allow Admins to approve and assess all learnings under Settings → Features → People.
