Overview
An acknowledgement asks a learner to confirm a statement before a learning counts as complete, for example "I confirm that I have read and understood the Code of Conduct and agree to comply with it." You switch it on with Require acknowledgement and write the statement. The learner then sees an Acknowledge button instead of Mark as complete, and SuperPath records the date they acknowledged and the exact statement they agreed to on their learning record.
Use it for policies, safety videos, compliance courses and anything else where you need a record that someone has read, watched or understood something. For the full compliance rollout, from publishing the policy to reporting on it, see How to Run Policy and Compliance Acknowledgements.
Where you can require an acknowledgement
- Assignments of Library content (files, links, videos, documents and courses) and Events.
- Pathway steps that are content, Knowledge, text or Event steps.
- Workflows that assign content or an Event, and schedules for content or an Event.
It is not available on Forms, Goals, Roadmaps, sections, sub-pathway steps or a Pathway as a whole. To require an acknowledgement inside a Pathway, set it on the step.
Require an acknowledgement when you assign
- Open the content or Event, click Assign and choose who to assign it to.
- In the assign popup, click Advanced.
- Under Acknowledgement, turn on Require acknowledgement.
- Check the statement in Statement learners must agree to. It is prefilled with "I confirm that I have read and understood this learning and agree to comply with it." Edit it to say exactly what the learner is agreeing to.
- Finish assigning as usual.
If you choose to schedule the assignment for later rather than assign it now, the acknowledgement is saved with the schedule and applies when it runs.
Require an acknowledgement on a Pathway step
- Open the Pathway in the builder, hover over the step and click the cog icon to open its settings.
- Under Acknowledgement, turn on Require acknowledgement.
- Check or edit the statement in Statement learners must agree to.
- Publish the Pathway so the requirement reaches your learners.
When you publish, the requirement applies to every learner who has not yet completed the step. Learners who already completed it are not affected.
Note: The statement is required while the switch is on, and can be up to 1,000 characters. If it is blank, SuperPath shows "Enter the statement learners must agree to." and does not save the setting until you add one.
Require an acknowledgement in a Workflow or schedule
Workflows. When a Workflow's action assigns content or an Event, open Advanced options and use the same Acknowledgement block. Every assignment the Workflow makes then carries the requirement. A Workflow that assigns a Pathway has no acknowledgement setting of its own: set it on the Pathway's steps instead.
Schedules. When you edit a schedule for content or an Event, open Advanced options and use the Acknowledgement block there. See Scheduled Learnings.
Using it with evidence and approval
You can require an acknowledgement, evidence and an approval on the same assignment or step. The learner always acknowledges first:
- Acknowledgement only: acknowledging completes the learning (or marks an Event as attended).
- With approval: acknowledging submits the learning for review.
- With evidence: the learner acknowledges, then submits their evidence as usual.
An approver can only ever review learning the learner has already acknowledged, and sees the acknowledgement next to any evidence. If an approver declines and the learner resubmits, they are not asked to acknowledge again.
Checking who has acknowledged
- On the learning record, the learner's record reads Acknowledged on with the date, and View statement shows the wording they agreed to. Until then it reads Not yet acknowledged.
- In the reports, an acknowledgement icon sits next to each record that needs one. It is green once acknowledged (click it to see the date and statement) and grey while outstanding.
- In a CSV export, learning report exports include Acknowledgement Required and Date Acknowledged columns. A Pathway row leaves both blank, because the requirement is set on each step. The step rows carry the values.
Things to keep in mind
- Only the learner can acknowledge. If you mark the learning as complete for them, or bulk mark assignments as complete, it is completed without an acknowledgement and the date stays empty. Reports will show it as not acknowledged.
- Changing the statement, or turning the requirement off, never removes an acknowledgement already given. The learner's record keeps the wording they agreed to.
- Videos played in SuperPath, SCORM courses and Mindsmith courses don't complete themselves while an acknowledgement is outstanding. The learner finishes the content, then acknowledges to complete it.
- The acknowledgement settings on an existing assignment can't be changed from the assignment page. To change them, assign the learning again.
- There is no "I do not agree" option. A learner who does not acknowledge leaves the learning incomplete.
FAQs
What does the learner see?
An Acknowledgement required chip on the learning and an Acknowledge button where Mark as complete would be. Once the content is finished, the button opens a window with your statement and a tick box. See How to Acknowledge a Learning.
Can a learner acknowledge before finishing the content?
They can read the statement at any time from the Acknowledgement required chip. For a video played in SuperPath, a SCORM course, a Mindsmith course or an Event, the Acknowledge button stays unavailable until they have watched the video, finished the course, passed the Mindsmith course or the Event has started, the same as Mark as complete. For documents, links, Knowledge articles and text steps it is available straight away.
What is recorded?
The learner, the date and time they acknowledged, and the statement exactly as it read when they agreed to it.
Is there a default statement for my whole organisation?
No. Every assignment and step starts with the same prefilled statement, which you can edit each time.
Who can do this
Owners, Admins, Managers, Content Managers and Instructors can require an acknowledgement when they assign learning or edit a Pathway step. People Managers, Employees and Restricted users cannot. They can only manage their own assignments, so they cannot assign learning to others, and they have read-only access to Pathways.
Only Owners and Admins can create Workflows. Who can edit schedules is covered in Scheduled Learnings.
A learner cannot change the acknowledgement settings on their own assignment. The exception is an Owner or Admin who has assigned learning to themselves.
