How to Add a Person and Assign Them Learning

Overview

There are two ways to get a person into SuperPath: you can invite them by email, or you can add them manually yourself. Which one you choose changes when you can start assigning them learning, so it's worth understanding the difference before you begin. This article walks through both, then shows how to assign Pathways, Events, Forms and Roadmaps — and answers the question we hear most often: do people have to accept their invite before you can assign learning to them?


How to invite a person

Inviting sends an email asking the person to join your organisation. They create their own account by accepting the invite.


  1. Go to People.
  2. Click Add People, then choose Invite People.
  3. Under Enter email addresses, type one or more email addresses.
  4. Choose a role under Select a role (required).
  5. Optionally pick a team under Select a team (optional).
  6. Click Send Invite.



Invited people don't appear in your main People list yet — they sit under View invites until they accept. Accepting the invite is what creates their account.


How to add a person manually

Adding manually creates the person's account straight away, without waiting for them to accept anything.


  1. Go to People.
  2. Click Add People, then choose Manually Add Person.
  3. Enter their First name, Last name and Email Address (all required).
  4. Choose a Role (required). You can also set their position, manager, teams and sign-in method now, or leave those for later.
  5. Click Add Person.



Note: Manually adding a person does not send them a welcome email automatically. When you're ready for them to sign in, send one from the People list using the envelope icon on their row (available until they've logged in for the first time).


How to assign learning

You can assign learning from the content itself or from a person's profile.


  1. Open a Pathway, Event, Form or Roadmap (or go to the person's profile).
  2. Click Assign.
  3. Choose the people and/or teams you want to assign it to.
  4. Set any options, such as assigning it now and whether to notify the recipients.
  5. Click Assign.



Invited vs active: when can you assign?

This is where the two approaches differ, and it's the source of most confusion.


  • A person you added manually is active immediately. You can assign learning to them the moment their account is created — before they've ever signed in, set a password or verified their email. They'll receive the learning, and notifications reach them once they're active (which they already are).
  • A person you invited cannot be assigned learning until they accept. Until they accept, no user account exists yet — they're only a pending invite under View invites, so they won't appear in the assignee picker and there's nothing to assign to. Once they accept, their account is created and active, and you can assign to them like anyone else.


In short: manual add means you can assign right away; invite means you assign after they've accepted.


Things to keep in mind

  • Only people with an active account can be assigned learning — accounts that have been disabled or deleted are skipped, and single assignments to them are rejected.
  • When you assign to a team, everyone on that team who has an active account receives the learning.
  • Sending a welcome email is a separate step from adding someone manually — don't forget it if you want the person to be able to sign in.


FAQs

Do people have to accept their invite before I can assign them learning?
It depends how you added them. If you invited them by email, yes — they need to accept first, because their account doesn't exist until then. If you added them manually, no — their account is active straight away and you can assign learning immediately.


I invited someone but can't find them to assign learning. Why?
They haven't accepted their invite yet, so they don't have an account and won't show in the assignee picker. Check People → View invites. Once they accept, they'll appear in your People list and you can assign to them.


Does assigning learning notify the person?
You can choose whether to notify recipients when you assign. Notifications reach people with an active account, so a manually-added person who hasn't logged in yet will still be notified once they sign in.


What's the difference between inviting and adding manually?
Inviting emails the person and lets them create their own account by accepting. Adding manually creates the account for them immediately. Manual add is the quicker route if you want to assign learning before the person signs in.


Who can do this

Owners and Admins can add people — both by invite and manually. Managers, People Managers, Content Managers, Instructors, Employees and Restricted users cannot add or invite people. Assigning learning is available to Owners, Admins and Managers; People Managers can assign learning to their direct reports. Content Managers, Instructors, Employees and Restricted users cannot assign learning to others.
