Overview
An action is what a Workflow does when its trigger fires — the "Then do this" half of the automation. When you build a Workflow, you pick the action under the Then heading, then choose the specific item it applies to. This article explains each action and the options it offers.
The available actions
SuperPath offers eight actions.
- Assign a pathway — assigns a Pathway to the person. Tick Include public pathways if you want public Pathways to appear in the picker.
- Assign a content — assigns a single piece of Library content that you search for and select.
- Assign an event — assigns an Event you choose.
- Assign a form — assigns a Form you choose.
- Assign a roadmap — assigns a Roadmap you choose, and optionally a specific level within it.
- Add to team — adds the person to a Team you choose.
- Change user role — changes the person's Role to one you choose.
- Send a notification — sends a message to the people you choose across the channels you enable. This action has its own dedicated setup — see the separate article on sending a notification from a Workflow for the full detail.
Assignment options
The assignment actions (Assign a pathway, content, event, form or roadmap) share a set of optional rules that control how the assignment behaves:
- Notify people on assignment — sends the standard assignment notification when the item is assigned.
- Start date — sets when the assignment becomes available, based on a rule.
- Due date — requires the item to be completed by a specific date, or a set number of days after it's assigned.
- Reassign even if incomplete — re-assigns the item even if a previous assignment hasn't been completed.
- Recurring schedule — re-assigns the item on a yearly schedule for a set number of occurrences.
Not every option applies to every action. Assign a roadmap offers a narrower set (for example, it doesn't include the start-date, reassign or recurring options), and Add to team, Change user role and Send a notification don't use assignment rules at all.
Things to keep in mind
- A Workflow triggered by a change to a person's Role cannot use the Change user role action — this combination is blocked, and the option is hidden when the trigger matches on Role.
- When assigning content, Pathways are excluded from the content search — use Assign a pathway for those.
- Each Workflow performs exactly one action. To do more than one thing off the same event, build more than one Workflow.
- Send a notification is set up differently from the other actions; see the dedicated article for recipients, channels and message content.
FAQs
What's the difference between "Assign a content" and "Assign a pathway"?
"Assign a content" assigns a single Library item (such as a course or Knowledge article), while "Assign a pathway" assigns a full Pathway. Pathways are deliberately left out of the content search so the two don't overlap.
Can a Workflow send a message as its action?
Yes — choose Send a notification. Because it has its own recipients, channels and message fields, it's documented in its own article rather than here.
Can I set a due date on an assignment made by a Workflow?
Yes. The assignment actions let you set a Due date (a fixed date, or a number of days after assignment), plus a Start date and other rules depending on the action.
Who can do this
Only Owners and Admins can create and edit Workflows (and therefore choose actions). Managers, Content Managers, People Managers, Instructors, Employees and Restricted users cannot. Workflows are a paid-plan feature, so the option only appears for accounts where it has been enabled.
