Overview
When you add a new person to SuperPath, they automatically receive a welcome email with a link to set up their account and sign in. This article explains what you can and can't change about that email, and how to send your own tailored welcome message when you want full control of the wording.
Can I edit the standard welcome email?
The wording of the standard welcome email is not editable in-app. Its layout and copy come from a fixed system template that SuperPath maintains centrally, so there is no template editor in your settings for changing the body text, subject line or button label of the standard email. What the email does pick up automatically is your account's branding (covered next). If you need a welcome message with your own wording, use a Workflow instead — see "Sending your own welcome message with a Workflow" below.
What you can change: branding
The standard welcome email is automatically personalised with your account's branding, so it looks like it comes from you rather than from SuperPath. It uses:
- Your logo, set in Settings → Theme.
- Your primary colour, which styles the sign-in button.
- Your platform name, shown as the sender name and in the message.
- Your support email, so recipients know who to contact.
To change how the welcome email looks, update these in your settings and new welcome emails will use them.

Turning the welcome email on or off
You control whether the standard welcome email is sent at all from the Communications settings:
- Go to Settings → Features.
- Find the Communications section.
- Toggle Welcome Emails off to stop the automatic welcome email being sent when a new person is added, or on to send it.
- Save your changes.

Note: Turning this off overrides manual welcome emails too — while it's off, SuperPath won't send the welcome email even if you trigger a resend.
Sending your own welcome message with a Workflow
If you want a welcome message written in your own words, create one with a Workflow. This sits alongside the standard welcome email and gives you full control over the wording, recipients, images and buttons:
- Go to Settings → Workflows.
- Select Create new workflow.
- Choose the trigger A new person joins.
- Add the Send a notification action.
- Enter a Title (the email subject) and write your Message. You can add variables such as recipient name and platform name, plus images, links and a button.
- Under recipients, choose The triggering user so the message goes to the new starter.
- Send a test to yourself, then save the workflow.
Once the workflow is active, your custom welcome message is sent automatically each time someone new joins.
Tip: For a full walkthrough of the notification editor, variables and buttons, see the Custom Notifications article.
Things to keep in mind
- The body of the standard welcome email cannot be edited by account admins — only its branding changes, via Settings → Theme.
- The welcome email is sent automatically when a new person is added to your account (not on first login).
- Workflows are a paid-plan feature. If you don't see Workflows in your settings, contact SuperPath Support to enable them.
- A custom Workflow welcome message is an addition, not a replacement — the standard welcome email still sends unless you turn it off in Communications.
FAQs
Can I rewrite the text of the standard welcome email?
No. The standard welcome email uses a fixed system template that isn't editable in your account. To send a welcome message with your own wording, create a Workflow triggered by "A new person joins" with a "Send a notification" action.
When is the welcome email sent?
Automatically, when a new person is added to your account. It contains a link for them to set up access and sign in.
How do I stop welcome emails going out?
Go to Settings → Features → Communications and toggle Welcome Emails off. This also prevents manual resends while it's off.
Can I change the logo and colours in the email?
Yes. The welcome email automatically uses the logo and primary colour from Settings → Theme, so updating your branding there updates the email.
Is the welcome email the same as the invite email?
They're separate messages. This article covers the welcome email new users receive when their account is created.
Who can do this
Owners and Admins can manage the Communications toggle and General branding settings, and (on a paid plan) build Workflows — all of the account-level settings live under Settings, which is restricted to these roles. Managers, People Managers, Content Managers, Instructors, Employees and Restricted users cannot change these settings. The body of the standard welcome email itself is maintained centrally by SuperPath and cannot be edited by any customer role.
