Overview

Sometimes a course or Knowledge article is only relevant to part of your organisation — role-specific training, region-specific policies, or internal content that shouldn't be seen more widely. The Restricted To Teams control lets you limit an item so that only members of the Teams you choose can see and access it. It's available on Library content (including courses) and on Knowledge articles.


Restrict a course or Library content to Teams

  1. Go to the Library and open the piece of content (for example a course) you want to restrict.
  2. Open its edit settings.
  3. Find the Restricted To Teams setting.
  4. Use Select teams to choose one or more Teams that should have access.
  5. Your change saves automatically.



Once at least one Team is selected, only people in those Teams (plus Owners and Admins) will find the content in the Library, in search, or by opening its direct link.


Restrict a Knowledge article to Teams

Knowledge articles have the same control, set independently on each article:

  1. Go to Knowledge and open the article you want to restrict.
  2. Open the article's settings.
  3. Find the Restricted To Teams setting.
  4. Use Select teams to choose the Teams that should have access.
  5. Your change saves automatically.



How the restriction works

The control is an allow list, applied per item:

  • No Teams selected — the item is visible to everyone who can normally access the Library or Knowledge.
  • One or more Teams selected — only members of those Teams can see and open the item. Everyone else won't see it in lists or search, and will be blocked if they follow a direct link.
  • Owners and Admins always retain access, so they can manage restricted items.


The restriction is enforced everywhere the item appears — the Library and Knowledge lists, search, and the item's own page — not just in one place.


Restricted To Teams vs Restricted to Admins

Don't confuse the two restriction controls on content:

  • Restricted To Teams — limits the item to members of the Teams you pick (the subject of this article).
  • Restricted to Admins — a separate switch that limits the item to admins only.


They're independent settings; use whichever matches who should see the content.


Things to keep in mind

  • The restriction is set per item — restricting one course or article doesn't affect any other.
  • Selecting Teams narrows access; clearing all Teams opens the item back up to everyone.
  • Dynamic Teams aren't offered in the Team picker for this control — choose from your standard Teams.
  • This is different from the account-wide Library, Knowledge and Roadmaps access levels (Everyone / Managers & Admins / Admins only) in Settings → Features — those set who can reach the whole area, while Restricted To Teams limits a single item.


FAQs

Where is the Restricted To Teams control?
On Library content it's in the content's edit settings; on a Knowledge article it's in that article's settings. Both use a Select teams picker.


Who can see content once I restrict it to Teams?
Only members of the Teams you selected, plus Owners and Admins. Everyone else won't see it in lists or search and can't open it directly.


Does it work on Knowledge articles as well as courses?
Yes — the same Restricted To Teams control is on both, and you set it separately on each item.


Can I restrict a Roadmap to Teams?
No. Roadmaps don't have the Restricted To Teams control. Their access is governed by the account-level Roadmaps access setting instead.


How do I remove the restriction?
Open the item's settings and clear all Teams from Restricted To Teams. It then becomes visible to everyone again.


Who can do this

Owners, Admins, Managers and Content Managers can set Restricted To Teams on both Library content and Knowledge articles. Instructors can set it on content they manage but not on Knowledge. People Managers, Employees and Restricted users can't manage content or Knowledge, so they can't set this control.
