How to Send a Welcome Email to a New User

Overview

When you add someone to SuperPath manually, no email is sent to them straight away — you decide when they're invited in. The welcome email gives the person everything they need to log in for the first time, with instructions that match the login type set on their profile.

How to send a welcome email

  1. In the left-hand menu, go to People.



  1. Use the search box to find the person you want to send the email to.



  1. At the end of their row, click the envelope icon — its tooltip reads "Send a welcome email with instructions to the person". The email is sent immediately and you'll see a confirmation that it was sent successfully.



What the person receives depends on the Login Type on their profile:

  • Password — a welcome message with a new password and a link to log in and change it.
  • Magic Link — a welcome message with a link to log in without a password.
  • Google or Microsoft — a welcome message telling them to sign in with that provider.


Note: For people set to Password login, sending the welcome email resets their password. Any password they have already set will stop working, so only send it to people who haven't logged in yet or who need a fresh start.


How to send welcome emails in bulk

  1. In the People list, tick the checkbox next to each person you want to email.
  2. Click Bulk Actions and choose Send Welcome Email.
  3. Check the number of people shown in the Bulk Send Welcome Email dialog, then click Confirm Send Email.


Things to keep in mind

  • The envelope icon only appears for people who have never logged in. Once someone has a last login date, the option disappears — send them a password reset instead if they can't get in.
  • It isn't available for people who sign in with Custom SSO, because their password and access are managed by your identity provider.
  • If Welcome Emails are switched off for your account under Settings → Features → Communications, sending is blocked and you'll see a message saying welcome emails have been disabled for this account. That setting overrides manual sends.
  • If the person's email address bounces, SuperPath tells you the email bounced rather than reporting a successful send — check the address on their profile.
  • A bulk upload can send welcome emails for you: turn on Send Welcome Email on the Review step of Bulk Add / Update People.


FAQs

Can I send the welcome email again?
Yes, as long as the person still hasn't logged in. For Password logins, each send issues a new password and invalidates the previous one.


Why can't I see the envelope icon for someone?
Either they've already logged in at least once, or they sign in with Custom SSO, or your role doesn't allow sending welcome emails.


Does adding a User manually send this email automatically?
No. Manually created Users are never emailed at the point you create them — sending the welcome email is a separate, deliberate step.


Can I send it to several people at once?
Yes — select them in the People list and use Bulk Actions → Send Welcome Email.


Who can do this

Only Owners and Admins can send welcome emails. The envelope icon and the bulk actions are hidden from every other role, and the request is rejected by the API with "You are not authorised to send welcome emails". Managers and People Managers can see their direct reports in the People list but cannot send welcome emails; Content Managers, Instructors, Employees and Restricted users have no access to the People list.
