Overview

When a whole group has time-limited access — a cohort of contractors, or a project team wrapping up on the same date — you can set the same access expiry date for all of them at once from the People list. You can also use the same action to remove expiry dates in bulk. Once a date passes, each person's access is withdrawn automatically.


Access expiry is an account-level feature. If you don't see the Set access expiry date action, it isn't enabled for your account.



How to set access expiry for multiple people

  1. Go to People.
  2. Tick the checkbox beside each person. To select everyone that matches your current search or filters, use the select-all option at the top of the list.
  3. Click the Bulk Actions button in the toolbar.
  4. Choose Set access expiry date from the dropdown.
  5. In the Set access expiry date window, choose the Access expiry date. You can only pick a future date.
  6. Click Update users.



The window then shows how many people were updated successfully and lists any that couldn't be updated.


How to remove access expiry in bulk

  1. Follow steps 1–4 above to open the Set access expiry date window.
  2. Tick the option to remove the existing access expiry date from the selected people (this clears their date rather than setting a new one).
  3. Click Update users.


The selected people are given permanent access, and any that couldn't be updated are listed.


Things to keep in mind

  • The expiry date must be in the future — past dates and today can't be selected.
  • Owners in your selection are skipped — they can't be given an expiry date, and each skipped Owner is reported in the results.
  • The action reports its outcome per person, so you can see exactly who was updated and who wasn't.
  • Ticking the remove option clears the date for everyone selected instead of setting one, giving them permanent access.
  • Bulk selection and bulk actions are only available to Owners and Admins — other roles don't see the row checkboxes.


FAQs

Can I remove expiry dates as well as set them?
Yes. In the same window, choose the option to remove the existing access expiry date instead of picking a new one.


Why were some people skipped?
Owners can't be given an access expiry date, so any Owners in your selection are skipped and shown in the results. Anyone else that couldn't be updated is listed there too.


Can I set access expiry for one person only?
Yes — you can set it directly on their profile. See How to Set an Access Expiry Date for a Person.


Who can do this

Owners and Admins can set access expiry in bulk — the row checkboxes that drive bulk actions only appear for these roles. Managers, People Managers, Content Managers, Instructors, Employees and Restricted users cannot use bulk actions on the People list. The feature must also be enabled for your account, and Owners in a selection are always skipped.
