Overview
An access expiry date lets you grant someone time-limited access to your platform — useful for contractors, secondees, or anyone whose access should end on a known date. You set the date on the person's profile, and once it passes their access is withdrawn automatically, so you don't have to remember to disable them manually.
Access expiry is an account-level feature. If you don't see the Access expiry date field, it isn't enabled for your account — an Owner or Admin can turn it on in your settings, or contact support.

How to set an access expiry date
- Go to People and open the person's profile.
- Click Actions → Edit account (or the Edit link in the profile card).
- In the Edit account panel, find Access expiry date.
- Choose the date on which the person's access should end. You can only pick a future date.
- Click Save changes.

Once saved, the person's profile shows Access expires on followed by the date. Their access is removed automatically when that date passes.
Tip: To give the person permanent access again, clear the date — see How to Remove a Person's Access Expiry Date.
Things to keep in mind
- The expiry date must be in the future — past dates and today can't be selected.
- When the date passes, the person's access is withdrawn automatically. If you later need to bring them back, you can re-enable them and set a new date.
- Leaving the field blank gives the person permanent access.
- Access expiry only appears when the feature is enabled for your account.
- To set the same expiry date for several people at once, use the bulk action on the People list — see How to Set Access Expiry for Multiple People.
FAQs
What happens when someone's access expires?
Their access is withdrawn automatically on the expiry date, so they can no longer sign in until they're re-enabled.
Can I set a date in the past?
No. Only future dates can be chosen. To remove access immediately, disable the person instead.
I can't see an Access expiry date field — why?
Access expiry is an account-level feature. If the field isn't shown, it hasn't been enabled for your account.
Who can do this
Setting an access expiry date is part of the Edit account panel, so it follows the same access as editing a person's account. Owners and Admins can set an expiry date for anyone. Managers and People Managers can do so for the people who report to them. Content Managers, Instructors, Employees and Restricted users cannot. The feature must also be enabled for your account.
