Overview


Assigning an Event adds it directly to someone's learning and, by default, notifies them. You can assign to individual people, to whole Teams, or to a mix of both — and you can do it now or schedule it for later.


This is different from making an Event available in the Library, where learners choose to register themselves. Assigning is you putting the Event in front of specific people.


How to assign an event


  1. Go to Events in the left-hand menu.
  2. Find the Event in the list and click the Assign event button in the row actions.
  3. In the Assign people & teams dialog, search for and add the people and Teams you want to assign the Event to.
  4. Choose when to assign it:
    • Assign now — assigns immediately. You can optionally set a Start date and a Due date.
    • Schedule later — pick the date and timezone for the assignment to go out, with an optional Due date.
  5. Leave Notify people on to send assignees a notification, and add a custom message if you'd like to. Turn the toggle off to assign quietly, for example if you plan to announce it another way.
  6. Click Assign.



Advanced options


Before you assign, you can click Advanced to add requirements to the assignment:


  • Learning evidence — turn on Require evidence to ask assignees to upload or link proof they completed the learning, with a description of what you need from them.
  • Approval — require the learning to be submitted for approval, and choose the approvers who can approve or decline it based on the evidence.
  • Notify on completion — notify the learner's Manager when they complete the Event.


Set these, then click Assign to finish. To go back to the first step, click Back.


Things to keep in mind


  • Assigning adds the Event to each assignee's learning straight away (or on the scheduled date if you chose Schedule later).
  • Assigning to a Team assigns the Event to that Team's current members.
  • Notify people is on by default — turn it off if you don't want assignees to be notified.
  • Assigning is separate from Library self-registration. If you'd rather let learners opt in themselves, make the Event available in the Library instead — see How to register for an event and How to require approval when users self-assign an event.


FAQs


Can I assign an Event to a whole Team?
Yes. Search for the Team in the Assign people & teams dialog and add it — the Event is assigned to the Team's current members.


Will the people I assign be notified?
By default, yes. Notify people is on, and you can add a custom message. Turn the toggle off to assign without sending a notification.


What's the difference between assigning and making an Event available in the Library?
Assigning puts the Event directly into specific people's learning. Making it available in the Library lets learners find and register for it themselves — see How to make an event available in the Library.


Can I assign an Event to go out later?
Yes. Choose Schedule later and set the date and timezone for the assignment to be sent.


Who can do this


Owners, Admins, Managers, Content Managers and Instructors can assign Events to people and Teams from the Events management area. People Managers, Employees and Restricted users cannot assign Events — they don't have access to the Events management area. Learners can still add an Event to their own learning by registering for it in the Library, where it's been made available.
