How to Add a Thumbnail and Library Image to an Event

Overview


Alongside the wide cover banner, an Event has two smaller images: a thumbnail shown next to the Event's title, and a library image used when the Event appears in your Library. This article covers both. For the wide banner, see How to add a cover image to an event.


You manage both images in the Event editor, on the Event's Details tab. To open it, go to Events in the left-hand menu and click the Event you want to edit.


Thumbnail vs library image vs cover


These are three separate images, used in different places:


  • Cover — the wide banner across the top of the Event. Set separately — see How to add a cover image to an event.
  • Thumbnail — the small square image shown next to the Event's title in the editor.
  • Library image — a 16:9 image used on the Event's card when it appears in the Library. It falls back to the cover image if you leave it empty, and it only appears as an option when the Event is marked Available in Library.


How to add a thumbnail


  1. Open the Event. The thumbnail sits to the left of the title, near the top-right of the card.
  2. Click the thumbnail image to open its menu, then choose a source:
    • Upload an image — upload your own file.
    • Choose from Unsplash — search free stock photos.
    • Choose from Library — pick from your organisation's asset library.
    • Choose from Canva — design or pick one in Canva (only shown if Canva is available for your account).
  3. Select an image. To clear it, open the menu and click Remove thumbnail.



How to add a library image


The library image only appears when the Event is available in your Library.


  1. Turn on Available in Library at the top of the editor. (This toggle is only present if your organisation allows Events in the Library.)
  2. Find the Library image picker that appears in the editor, alongside the note explaining it is shown when the Event appears in the Library.
  3. Click the picker and choose a source (Upload, Unsplash, Library or Canva), then select a 16:9 image.
  4. To clear it, open the picker and use the remove option.



Good to know: If you leave the library image empty, the Event's cover image is used on its Library card instead.


Saving your changes


The thumbnail and library image are staged, then saved together with your other edits.


  1. Set the thumbnail and/or library image.
  2. In the Unsaved changes bar at the top of the page, click Save.
  3. To undo, click Discard and confirm.


Things to keep in mind


  • The thumbnail, library image and cover are three different images used in different places.
  • The Library image picker only appears when the Event is marked Available in Library; that toggle itself only appears if your organisation allows Events in the Library.
  • The library image uses a 16:9 ratio and falls back to the cover if left empty.
  • Unlike the cover, thumbnail and library image changes are staged — click Save to apply them.


FAQs


What's the difference between the thumbnail, the library image and the cover?
The cover is the wide banner at the top of the Event, the thumbnail is the small square next to the title, and the library image is the 16:9 image shown on the Event's card in the Library.


Why can't I see the library image option?
It only appears once the Event is marked Available in Library. That toggle is only available if your organisation allows Events in the Library.


What happens if I don't set a library image?
The Event's cover image is used on its Library card instead.


Who can do this


Owners, Admins, Managers, Content Managers and Instructors can add or change an Event's thumbnail and library image. People Managers, Employees and Restricted users cannot — they have read-only access to Events.
