How to Run the Knowledge People Report

Overview

The Knowledge People Report shows who has viewed your Knowledge articles, and when. You pick the people or Teams you're interested in and a date range, and the report lists each person against the Knowledge they viewed, the date, and how many times they viewed it. It's the people-centric companion to the Knowledge Article Report, which looks at the same data from the article's side.



How to run the report

  1. From the left-hand menu, open Reports.
  2. On the Reports page, click the Knowledge People Report tile.
  3. In the Search Criteria panel on the right, search for and select the People or Teams you want to include. Tick Include disabled users if you want to count views by disabled accounts.
  4. Choose a Date Viewed period — This week, Last week, This month, Last month, or Custom (then pick a from and to date).
  5. Click Generate.



What the report shows

The results table has one row per person and Knowledge item viewed, with these columns:


  • Name — the person (disabled accounts are badged).
  • Title — the Knowledge article they viewed.
  • Date viewed — the most recent view in the period.
  • Total Views — how many times they viewed it in the period.


Use the search box above the table to filter by name or email, sort by any column, and page through the results.


Saving and exporting

Once you've generated the report you can:


  • Export — click Export to open the column picker and download the results as a CSV. The export can include the User ID, First Name, Last Name, Email, Position, Knowledge Title, Date Viewed and Total Views.
  • Edit — reopen the Search Criteria panel to change your selection.
  • Save — save the report so you can reopen it later with the same criteria (and share or schedule it, as with other saved reports).


Things to keep in mind

  • This is a report, not part of Analytics — it's tabular, and you can save and export it.
  • The report is available only when Knowledge is enabled for your platform.
  • By default disabled users are excluded; tick Include disabled users to count their views.
  • Total Views counts each view within the selected period; the Date viewed column shows the most recent view.


FAQs

How is this different from the Knowledge Article Report?
This report is organised by person — who viewed what. The Knowledge Article Report is organised by article — how many views each article got. They draw on the same view data.


Can I report on just my team?
Yes. Search for and select the people or Teams you manage in the Search Criteria panel before generating.


Can I save the criteria for next time?
Yes — use Save after generating, and reopen the saved report later from the Reports area.


Who can do this

The Knowledge People Report is reached from the Reports page, which is available to Owners, Admins, Managers and People Managers; the report tile also requires Knowledge to be enabled for your platform. Managers and People Managers can report only on their own direct reports and Teams, while Owners and Admins can select anyone. Content Managers, Instructors, Employees and Restricted users don't have access to the Reports area.
